OUR USE OF YOUR DATA

City Rental Services requires your data in order to set up a tenancy on our properties.

You have the right to withdraw consent to us holding your data, in which case we would be unable to let a property to you, but your data would not be used again. Data held for past tenants is only required for accounting purposes.

WHAT DATA DO WE COLLECT?

City Rental Services requires personal data such as your name, contact details and payment information. We may require bank statements and references from landlords and employers.

No sensitive data will be collected.

No automatic processing is involved. Our employees, landlords and contractors handle any lettings issues personally and on a case by case basis.

HOW IS YOUR DATA USED?

Our employees use your contact details to set up a tenancy. We also contact tenants when necessary to discuss the property. The landlord is primarily your first contact, but when requested, we may carry out maintenance on their behalf.

This may include passing your contact details to our trusted contractors in order to arrange work. This will all be carried out within the terms of your tenancy agreement.

Your information is kept either to fulfil legal requirements or contractual ones associated with the tenancy. We do not use your data for marketing, and we do not pass it on to third parties for marketing purposes.

ACCESS TO YOUR DATA

If any of the data we hold about you is incorrect, please contact us and we will amend it. You are also free to ask about the data we hold on your file. It will be maintained for a maximum of seven years after the end of your tenancy, for accounting reasons.

Any concerns you have may be raised in the first place with us at wendy@citypropertylets.co.uk, but you are also free to escalate them to the Information Commissioners’ Office.

LANDLORDS

OUR USE OF YOUR DATA

City Rental Services requires your data in order to manage your properties as instructed. You have the right to withdraw consent to us holding your data, in which case we would be unable to manage your properties, but your data would not be used again.

WHAT DATA DO WE COLLECT?

City Rental Services will require personal data such as your name, contact details and payment information.

No automatic processing is involved. Our employees and contractors will handle any issues personally and on a case by case basis. 

HOW IS YOUR DATA USED?

Our employees will use your contact details to discuss the property with you. We may pass this contact information to tenants or potential tenants if required. Bank details will be required to make payments to you.

We do not use your data for marketing, and we do not pass it on to third parties for marketing purposes.

GUARANTORS

OUR USE OF YOUR DATA

City Rental Services has been provided your name and contact information by a prospective tenant who has named you as their guarantor. We use this data to set up a tenancy and let our properties.

You are not obliged to act as a guarantor, and you may withdraw your consent to us holding your data before the tenancy begins. In this case the tenant will be required to find another guarantor and your data will not be used by us again.

WHAT DATA DO WE COLLECT?

City Rental Services will require personal data such as your name and contact details. No sensitive data will be collected. Bank details are not required, and credit checks are not carried out against you.

No automatic processing is involved; our employees will make a determination about whether the tenancy can proceed.

HOW IS YOUR DATA USED?

Our employees will use your contact details to set up a tenancy. We may also use your contact details to discuss the property with you in cases where the tenants are not available or are in arrears. The landlord is primarily the first point of contact, but when requested, we may contact you or the tenants directly. Your information is kept either to fulfil legal requirements or contractual ones associated with the tenancy.

CONTRACTORS

OUR USE OF YOUR DATA

City Property Lets and City Rental Services require your data in order to instruct you to carry out works on our properties.

To use this data, we need your active consent. Unless you opt in, we will assume we do not have permission to use your information.

After providing it, you still have the right to withdraw consent to us holding your data, in which case we will be unable to instruct you but your data will be removed.

WHAT DATA DO WE COLLECT?

CPL and CRS will require personal data such as your name, contact details, payment details and public liability insurance information. No sensitive data is required and no automatic processing is involved.

HOW IS YOUR DATA USED?

Our employees will use your contact details to arrange works with you. We may pass your contact details to tenants when works are in progress so that they may contact you directly. Insurance information is kept in order to fulfil legal requirements.

We do not use your data for marketing, and we do not pass it on to third parties for marketing purposes.
